Frequently Asked Questions

How do I install Toastmaster Timer in Zoom?
  1. Enable Developer Mode in your Zoom client (Settings → Apps → Developer Mode)
  2. Go to Zoom Marketplace → Your Apps → Local Test
  3. Upload the manifest.json file from the app
  4. Start a Zoom meeting and click Apps → Toastmaster Timer
The app stopped controlling my video, or Zoom sent me to the website

Zoom can drop an app's authorization on its own — most often after the app is updated, after a change by your Zoom account admin, or when the stored permission simply expires. When that happens the timer still counts and still records your report, but it can no longer change your video to green, yellow or red, and opening the app may take you to our website instead of into your meeting.

The fix is to add the app again:

  1. Open Add Toastmusters Timer to Zoom and approve the app
  2. Return to Zoom and start or join a meeting
  3. Click Apps → Toastmusters Timer

Your data is not affected. Agendas, custom roles, timing rules, saved reports and your own background cards live in this browser profile on your own device, not in the Zoom authorization. Re-adding the app leaves all of it exactly where it was.

Need to run a meeting right now? The browser timer works without Zoom and shares the same timing rules.

Zoom shows an "Allow" popup every time the color changes

That popup is Zoom asking your permission to change your virtual background. Zoom only asks when it is treating the app as a guest — that is, when your Zoom account has not approved the app, or when Zoom dropped an approval you gave earlier. Zoom drops approvals whenever an app update changes what the app asks for, so this can start happening even though you changed nothing.

When this is the case the app shows a banner at the top saying that Zoom asks permission on every color change. Click Approve in Zoom on that banner, then approve the app in the Zoom dialog that opens. The popups stop from the next color change onwards, and your agendas, roles and reports are untouched.

If you do not see the banner, remove the app from Zoom (Settings → Zoom Apps) and add it again from the link above. Clearing the background at the end of a speech will always ask once; that confirmation is Zoom's own and cannot be turned off.

How do I use the timer?
  1. Select a timing role (Standard Speech, Ice Breaker, etc.) or choose Custom to set your own times
  2. Optionally enter a speaker name (or select from Zoom participants)
  3. Click START to begin timing
  4. The timer will automatically change your virtual background to green, yellow, or red based on the timing rules
  5. Click STOP to pause, RESET to clear, or FINISH to save the result to the report
Can I customize the timing rules?
Yes! Click "Edit timing rules" next to the role dropdown to customize default timing for each speech type. You can also select "Custom" role and set your own green, yellow, and red thresholds.
How do I manage multiple speakers?
Use the AGENDA tab to:
  • Add speakers manually or import from text
  • Drag and drop to reorder speakers
  • Click on a speaker to load them into the timer
  • View completed speakers with checkmarks
Where is my data stored?
All data (agenda, reports, timing rules) is stored locally in your browser's localStorage. Your data never leaves your device and is not sent to any servers.
The virtual background isn't changing. What's wrong?
  • Ensure you've granted virtual background permissions when installing the app
  • Check that you're in a Zoom meeting (the feature only works in meetings)
  • Verify your Zoom client supports virtual backgrounds
  • Make sure the background images are accessible (check browser console for errors)
How do I export timing reports?
Go to the REPORT tab and click "Copy Report to Clipboard". The report will be copied as tab-separated text that you can paste into Excel, Google Sheets, or any text editor.
Can I use this app without a speaker name?
Yes! The speaker name is optional. You can start the timer without entering a name. However, if you want to save reports, you'll need to enter a name before finishing.
